Spring 2027 Contract

Date: Saturday & Sunday, March 6th & 7th 2027

Place: Oakville Senior High School, 5557 Milburn Road, St. Louis, MO 63129 

Time: Shopping 9:00 am – 4:00 pm Saturday and 10:00 am – 3:00 pm Sunday

Setup hours: Saturday, March 6: 6:00 AM - 8:30 AM & Sunday, March 7: 9:00 AM - 10:00 AM

This agreement shall be for a period of two days: Saturday, March 6, 2026 9 AM to 4 PM to Sunday, March 7, 2026 10 AM to 3 PM

WHO IS THE OBPA

We are the Oakville Band Parents Association, a non-for-profit booster club for Oakville Tiger Bands.   Our mission is to help enhance our children's music education experience through financial support and volunteering time and talent.  Our students are fortunate to receive a well-rounded music education encompassing marching competitions in the fall and concerts and exhibitions in the winter season.  We host several fundraisers throughout the year, two of which are the Fall and Spring Craft Fairs.  If you would like to help us in our mission, please consider making a donation. Your OBPA room monitor will be happy to assist you.

*Student helpers may be available to help transport booth materials and wares to/from your vehicle.

  1. Rental per space for two days shall be $75.00 for a single space in Gym B, Cafeteria, and Commons.  A large space in the Commons is $100.00.  No deposits will be accepted, payment must be made in full to receive a space.  Tables are available at an additional $10.00 per table and electricity will be included in the price of rental. 

  2. All merchandise may be hand-crafted by the seller.  Vendors must attest to making all or a major part (over 50%) of each item presented to our fair and selling only their crafts.  Third party or seller market place items are not allowed.  No “garage sales” or “flea market” items are allowed.  Select direct sales vendors will be allowed entry to our March event only.  Only one vendor per direct sales company will be allowed.  Vendors may not offer food or drinks for sale that compete with our cafeteria items.  The Craft Fair committee reserves the right to remove any item deemed objectionable, unacceptable or undesirable for any reason.  All proceeds from craft sales go to the individual vendor.

  3. The Craft Fair Committee reserves the right to assign your booth space.  In the event a vendor cannot occupy their space on the days of the craft fair, the Committee reserves the right to have those spaces occupied by other vendors for that year.  The committee reserves the right to remove and/or deny future application to any vendor who exhibits improper behavior towards craft fair staff, students, patrons, and/or other crafters.  We reserve the right to return your fee and application if your craft has been deemed unacceptable. All returned checks will be assessed a $25.00 NSF fee.

  4. Neither Oakville Senior High School nor the OBPA will be liable for any damages or injury to persons or property, sustained by conditions or activities on the school premises.

  5. Vendors are responsible for protecting their property and merchandise from damage or loss.  Someone must be present at your display during published craft fair hours.  Our volunteers will be happy to “sit” in your booth if you need a quick break.

  6. Neither Oakville Senior High School nor the OBPA accept responsibility regarding changes to the school facility that could affect the fair, such as physical damage, construction change, or administration decisions.  

  7. Smoking, drugs, weapons, alcoholic beverages and pets are strictly prohibited on school grounds at any time.  This includes parking lots.  Only certified service animals are allowed on campus.  

  8. You must bring your own booth equipment, including tables (unless you ordered tables from us). No nails, screws, or staples may be put in the walls or floor.  All booths must be safely constructed and not constitute a hazard.  You may not demonstrate products in any aisle, corridors, or walkways.  All tables must be covered with floor length cloth with no boxes or supplies showing.  Candle burning is not allowed.  40 watt light bulbs only.

  9. Tear down begins at 3:00pm on Sunday - NO early tear down is allowed.  Crafters may not move their vehicles into position until after the time.  Crafters must be out of the school by 5:00 pm.  The crafters shall be responsible for removing all merchandise and/or goods, leaving leased space in a neat and clean condition.  Student helpers may be available to help transport your booth materials and wares back to your vehicle.  

  10. Collection, reporting, and payment of Missouri State Sales Tax is solely the responsibility of the vendor.  The school administration and the Craft Fair Committee accept no responsibility for sales tax collection.

  11. Communication with our volunteers must be done in a professional manner.  Please remember our volunteers donate their time to the band to make this a successful event.  Communication that is threatening, bullying, or otherwise deemed inappropriate by the Craft Fair Chair and Board President could lead to a forfeiture to your spot.  Refunds will be issued at the discretion of the Craft Fair and Board President.  

  12. INCLEMENT WEATHER POLICY

    1. Full weekend cancellation - roll over to the next year’s event; have until Feb 1 of the next year to cancel via writing in email

    2. Partial weekend cancellation - no refund

    3. Need to make it clear that the decision will be based on the conditions of the Oakville area 

  13. REFUND POLICY 

    1. If you must cancel from our show, notify us in writing via email prior to February 1, and we will refund all your fees.  

    2. No refunds will be made after February 1.  There are no exceptions to this rule.

    3. You cannot transfer your space to another.

    4. If you have not arrived by 8:30 AM on Saturday morning and have not contacted us in writing via email, you will forfeit your booth and all fees you have paid.  You may also be eliminated from future participation in our show.
